Terms of Service & Code of Conduct

1. Introduction

By registering for or participating in the 6th Spatial Data Science Symposium (SDSS 2025) (“the Symposium”), you agree to the following Terms of Service. These terms constitute a binding agreement between you (“the Participant”) and the Symposium organizers (“the Organizers”). Please read them carefully before registering or attending.

2. Eligibility

The SDSS 2025 Symposium welcomes participation from individuals across academia, industry, government, and the broader spatial data science community worldwide. There are no geographical or institutional restrictions on participation.

3. Registration

Registration for the SDSS 2025 Symposium is free of charge. Participants are required to register prior to attending in order to receive access links and session information.

4. Code of Conduct

All participants, presenters, sponsors, and volunteers are required to abide by the SDSS Code of Conduct below. Violations may result in removal from the Symposium and possible exclusion from future events.

5. Privacy & Data Use

Participant data collected during registration (including name, affiliation, and contact information) will be used solely for Symposium administration, communication, and reporting purposes.

During virtual sessions, portions of the Symposium may be recorded for documentation and archiving. By participating, attendees consent to the recording of presentations and discussions, and to the use of such materials for academic, reporting, or promotional purposes. If you prefer not to appear in recordings, you may disable your camera or contact the Organizers prior to your session.

6. Intellectual Property

Authors retain copyright over submitted papers, abstracts, and other materials. However, by submitting materials, authors grant the Organizers permission to publish, display, and archive their content (e.g., in proceedings, online repositories, or Symposium websites).

7. Liability

The Organizers shall not be held liable for any technical issues, data loss, or interruptions that may occur during virtual sessions, nor for any indirect damages arising from participation in the Symposium.

8. Modification & Termination

The Organizers reserve the right to modify the program, format, or dates of the Symposium, or to cancel it entirely if circumstances require. In such cases, participants will be notified as soon as possible.

9. Code of Conduct

Purpose

The SDSS Symposium seeks to foster an inclusive, respectful, and collaborative environment for all participants. This Code of Conduct ensures a safe and professional atmosphere across all virtual sessions and communications.

Expected Behavior

  • Treat all participants with respect, professionalism, and courtesy.
  • Engage in constructive, scholarly, and inclusive dialogue.
  • Refrain from discriminatory, harassing, or intimidating behavior or speech.
  • Respect differing opinions, disciplinary approaches, and cultural perspectives.
  • Follow directions from Organizers, session chairs, and moderators.
  • Credit others’ ideas, data, and contributions appropriately.

Unacceptable Behavior

  • Harassment, bullying, or intimidation in any form (verbal, written, or visual).
  • Discriminatory remarks or conduct based on gender, race, ethnicity, religion, disability, sexual orientation, or nationality.
  • Disruptive, aggressive, or disrespectful behavior in virtual sessions, chats, or Q&A forums.
  • Sharing of confidential content or unauthorized distribution of others’ work without permission.

Reporting & Enforcement

  • Incidents or concerns should be reported confidentially to the Organizers or designated Code of Conduct officers (contact details available on the Symposium website).
  • Reports will be reviewed promptly; actions may include verbal warnings, removal from the event, or notification of the offender’s affiliated institution.
  • Retaliation against individuals reporting violations will not be tolerated.

Commitment to Improvement

The SDSS Organizers are committed to promoting equity, diversity, inclusion, and accessibility in all aspects of the Symposium. Feedback on this Code of Conduct or its implementation is welcome.

10. Acceptance of Terms

By registering for or attending the SDSS 2025 Symposium, you acknowledge that you have read, understood, and agreed to these Terms of Service, including the Code of Conduct.
